How to submit your Polish visa application by post

Please read the different steps below to learn how to submit your visa application to the TLScontact visa application centre.​

Choose your visa category and prepare your documents

Before completing your visa application form, please read the instructions carefully.

Ukrainian citizens can apply for a long-term (D) visa by post if they:

  • have a valid work or study invitation,
  • own a business in Poland, or
  • hold a Polish Card.

Applicants for a local border traffic permit (LBT) must submit their documents in person at the Polish Consulate General.

Make sure you have all required documents for your chosen visa category. You can view the full list here.

From 24 October 2022, all applicants must have travel medical insurance with a minimum coverage of €30,000, valid for the entire stay (for national visas) or for the first entry (for Schengen visas).

Insurance can be purchased at the visa centre or online via IN24, which allows us to verify your policy.

All policies approved by the Polish Ministry of Foreign Affairs are accepted. More information here.

You must also print and complete the Consent to the Processing of Personal Data form and include it with your documents. Form available here.

Important:

  • All personal data must match your international passport.
  • Sign and date both signature fields on page 3 of your application.
  • Applications with incorrect data or missing signatures will not be processed.

Send your documents via Meest MAIL

To send your visa application by courier:

  1. Visit https://tls-meest.visa-staff.com/ and fill in the required information.
  2. A transport declaration with an identification number will be generated and automatically shared with the Visa Application Centre.
  3. Pack your documents securely in an envelope and drop them off at the nearest Meest MAIL branch. Leave enough space in the envelope so that documents are not damaged during transit or when the package is opened.
  4. You can track your shipment online.

Important:

  • Only include documents required for visa processing.
  • Do not send cash. Any package containing money inside will be rejected and returned.
  • Incomplete applications will not be processed, and fees are non-refundable.
  • If documents are lost by the carrier, the maximum compensation is 5,000 UAH.
  • To ensure eligibility for compensation, indicate the package’s value as 5,000 UAH when submitting it.
  • The number of documents does not affect the compensation amount.

Application processing

Once received, Meest MAIL forwards your documents to the Visa Application Centre in Lviv.

  • If your application is complete, it will be accepted and forwarded to the Consulate for review.
  • After a decision is made, your passport and original documents (for example, the work invitation) will be sent back to the Visa Application Centre.
  • Your passport will then be returned by courier to the address you confirmed earlier.

You will not be charged any additional delivery fee, as this cost is already included in the service fee.
